Delegate Cancellations and Refund Policy

All cancellations must be made in writing to ForumPoint2 Conference Partners (jaimee@fp2.co.nz) and any refund decisions will made in consultation with the organising committee.

If you are unable to attend:  You may assign your registration to another person, please contact ForumPoint2 Conference Partners (jaimee@fp2.co.nz) if you wish to do this.

Cancellation requests made between 14 April and 1 May 2022 will receive a full refund minus an administration fee of $100. Any cancellations after this date will be at the discretion of the organising committee. Refunds will be made after the conclusion of conference.

Conference Cancellation

CEP New Zealand and ForumPoint2 Conference Partners are regularly monitoring the latest information from the New Zealand Government, Ministry of Health, World Health Organisation, and local the Public Health Authorities, we advise attendees to review this information prior to registering for the conference. If we are required to make any changes (refer below) or cancellations to our conference due to New Zealand Government regulations or restrictions in relation to COVID-19, delegates will be notified by email and registration fees will be refunded after deduction of expenses already incurred.

As New Zealand is still vulnerable to the COVID-19 pandemic, we are working to ensure there are options to deliver a great conference despite potential disruptions from the virus.

  • In the unlikely event the conference needs to shift to a fully online platform, you will be refunded minus the cost of the Virtual Registration fee.
  • In the event the conference is postponed, your registration fee will be held and carried over for the revised dates. In the event you are unable to attend the revised dates, your fee will be refunded after deduction of expenses already incurred.
  • In the event of cancellation, your fee will be refunded after deduction of expenses already incurred.

 In New Zealand, we are in the fortunate position of being able to plan major conferences and events for 2022 in line with Government regulations on vaccination, although we also need to continue our vigilance and maintain good hygiene and personal protection practices, such as mask wearing. We will endeavour to run an outstanding and safe conference on 1 and 2 June 2022.

Privacy – Marketing

Personal information is collected on behalf of CEP. A delegate list will be produced for the conference including name, organisation, and email address.  It will be distributed to conference attendees, conference partners and exhibitors, and provided to CEP New Zealand and future organisers of CEP Conferences. This list will not be provided to any other third party.  Should you not wish your details to be included on the list please indicate when asked during the registration process. Attendance information is collected for the purposes of contact tracing and may be disclosed to the Ministry of Health should the need arise.

Data Protection 

The European Union's new General Data Protection Regulation (GDPR) came into effect on 25 May 2018. Whilst the CEP Conference 2022 is based in New Zealand, and we do not always have delegates or speakers attend from the EU, as a responsible Professional Conference Organiser we believe it is important that we follow the GDPR standards to ensure your personal data privacy is protected. Please note, when you register online you will be asked to give your consent to providing your personal information in order to register for the conference.

Health & Safety – More details here
The conference managers, ForumPoint2 Limited, in conjunction with CEP and Venues will provide as safe and healthy an environment as possible for all attendees at the conference.

This commitment extends to ensuring the CEP Conference operations do not place the local community at risk of any injury, illness, or property damage. The Venue will take responsibility for providing health and safety procedures whilst on site.

All measures within our ability will be undertaken to ensure that attendees are as informed as possible about any potential risks or hazards they may face whilst attending conference. All attendees will need to:

  • Listen to the health and safety briefing onsite and/or read the health and safety document available at the registration desk;
  • Ensure all health and safety concerns; and all accidents or near accidents are immediately reported to the onsite ForumPoint2 Health and Safety Officer;
  • All attendees are encouraged to be responsible at all times and to promote a safe and healthy working environment for the entire conference duration;
  • Please respect your own personal safety and that of other conference delegates and employees;
  • Delegates and exhibitors will be required to scan into the conference daily to allow for contact tracing should it be required;
  • CEP, conference organiser and/or venue will require all attendees to present their COVID vaccination pass/documentation at registration each day;
  • Delegates and exhibitors will adhere to any NZ Government regulations or restrictions as set down in the Covid-19 Protection Framework.
  • Under the NZ Government’s COVID-19 Protection Framework (Traffic Light system) events the size of the CEP conference cannot take place without requiring vaccine pass verification at entry. Unless regulations change, we shall be inspecting passes at registration on both days of the event and will only be able to admit delegates showing a valid My Vaccine Pass and suitable photo ID.
  • Please note: Health and Safety requirements are subject to change as more information about the Covid-19 Protection Framework becomes available and processes relating the implementation of Covid-19 Vaccination Certificates are confirmed, and as direction from the NZ Government and Ministry of Health evolves.

Payment

Payment can be made by credit card (Visa or Mastercard) at time of registration or by direct credit on receipt of invoice (account details will be included on your invoice).  All prices are quoted on the summary page in New Zealand dollars and include GST of 15%.  Credit card payments will show debit as ForumPoint2 Ltd.  Credit card payments are processed via a secure WindCave payment gateway with a high level of compliance.

By completing a registration for the CEP New Zealand Meeting you acknowledge that you are responsible for the payment of your Registration Fee/s and will ensure prompt payment is provided by the bill payer.

Insurance 

The organisers and the Conference Managers will not accept any liability for losses associated with the conference. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the conference.

Disclaimer

The information on the conference website is correct at the time of publication.  However, the conference organisers reserve the right to change information. If, for reasons beyond the control of the organising committee, the conference is cancelled, registration fees will be refunded after deduction of expenses already incurred.

ForumPoint2 and CEP reserve the right to refuse entry.
