Making a Reservation

All bookings for accommodation must be made through ForumPoint2 Conference Partners using the Online Registration form.  The hotel will not accept direct bookings, they will direct you back to ForumPoint2 Conference Partners.  Notification of any alterations of cancellations must be sent in writing by email to ForumPoint2 Conference Partners and NOT to the hotels directly. Cancellations less than 30 days prior to conference will incur a penalty.

Payment for Accommodation

Accommodation cannot be booked unless credit card details are received at the time of registration.  Bookings will only be taken by credit card and paid in New Zealand dollars.  Your credit card details will be passed on to the hotel to secure your booking.  The hotel may immediately deduct payment although full payment is usually reserved for check-out.  The hotel may levy a surcharge on credit card payments.  A tax invoice for accommodation will be issued by the hotel on check-out.  Guests are responsible for all other tax, incidental and any cancellation charges that may be incurred.   

Deadline for Accommodation Bookings

Rooms will be allocated on a first-in basis until 30 days out from conference as long as rooms are available. After this date, all unallocated rooms will be released back to the hotel and no guarantee can be made that rooms will be available.

Sharing Accommodation

The room must be booked in the name of one person only, please indicate on the registration form the name of the person with whom you will be sharing.

Early OR Late Check-in

Standard check-in is 2.00pm onwards. If the room is required prior to this time please advise ForumPoint2 Conference Partners, as the hotel may charge an additional fee.  Please indicate if you will be arriving at the hotel later than 6.00pm. This will ensure your room is not released.

Late Check-out

Standard check-out time is before 11.00am. Late check-out may be subject to an additional fee.  

Cancellation Policy

In accordance with the hotel cancellation policy, cancellations or amendments less than 30 days prior to conference will incur a cancellation fee of full charge from the hotel.

No Shows

In the event of a ‘no-show’ or cancellation to a booked room on the day of arrival, there will be a full charge of accommodation costs by the hotel.

Rates quoted are in New Zealand Dollars (NZD) and include GST of 15%.
