Delegate Cancellations and Refund Policy
All cancellations must be made in writing to ForumPoint2 Conference Partners (paula@fp2.co.nz) and any refund decisions will made in consultation with the organising committee.

Cancellation requests made before 1 September 2026 will receive a full refund minus an administration fee of $200. Any cancellations after this date will be at the discretion of the organising committee. Refunds will be made after the conclusion of the conference. 

Conference Cancellation
PAC 2026 and ForumPoint2 Conference Partners are regularly monitoring the latest information from the Ministry of Health and World Health Organisation, along with local the Public Health Authorities and we advise attendees to review this information prior to registering for the conference. If we are required to make any changes or cancellations to our conference due to Government restrictions in relation to COVID-19, delegates will be notified by email and will be provided a full refund of their registration fee.

Privacy – Marketing
Personal information is collected on behalf of the PAC 2026. A delegate list will be produced for the conference including name, organisation, and email address. It will be distributed to conference attendees, conference partners and exhibitors, and provided to PAC and future organisers of PAC/APLS conferences. This list will not be provided by the PAC Conference Organising Committee to any other third party. Should you not wish your details to be included on the list please indicate when asked during the registration process. Attendance information is collected for the purposes of contact tracing and may be disclosed to the Ministry of Health should the need arise.

Data Protection
The European Union's new General Data Protection Regulation (GDPR) came into effect on 25 May 2018. Whilst the PAC Conference 2026 is based in New Zealand, and we do not always have delegates or speakers attend from the EU, as a responsible Professional Conference Organiser we believe it is important that we follow the GDPR standards to ensure that your personal data privacy is protected. Please note, when you register online you will be asked to give your consent to providing your personal information in order to register for the conference.

Health & Safety
The conference managers, ForumPoint2 Limited, in conjunction with the PAC Committee and Venues will provide a safe and healthy environment as possible for all attendees at the conference. This commitment extends to ensuring the PAC Conference 2026 operations do not place the local community at risk of any injury, illness, or property damage. The Venue will take responsibility for providing health and safety procedures whilst on site.

All measures within our ability will be undertaken to ensure that attendees are as informed as possible about any potential risks or hazards they may face whilst attending conference. All attendees will need to:

- Listen to the health and safety briefing onsite and/or read the health and safety document available at the registration desk
- Ensure all health and safety concerns; and all accidents or near accidents are immediately reported to the onsite Health and Safety Officer
- All attendees are encouraged to be responsible at all times, and to promote a safe and healthy working environment for the entire conference duration.
- Please respect your own personal safety and that of other conference delegates and employees.

Waka on Avon Experience

Health and Safety 

• Ko Tāne/Waka on Avon operates on the Avon River within the Christchurch city CBD with inherent risks, including but not limited to open waterways, uneven surfaces, native and non-native bird species, weather exposure, and traffic (road and cycle path traffic).
• All visitors participate in each activity at their own risk and are expected to exercise caution at all  times. Ko Tāne/Waka On Avon, APLS Australia, APLS New Zealand and ForumPoint2 Ltd accept no liability for loss of property, injury, or damage sustained during tours.
• The team at Ko Ko Tāne/Waka On Avon, APLS Australia, APLS New Zealand and ForumPoint2 Ltd retain the right to make strategic decisions to best accommodate the safety of all passengers on a tour.

General Conditions

• Pets are not permitted on the Waka as they may be unpredictable/distracting on the water posing a big risk to safety.
• We reserve the right to remove or refuse entry to any visitor behaving inappropriately or not complying with staff directions or signage.
• In the event liability is attributed Ko Tāne/Waka On Avon, any compensation shall be limited to the amount paid for admission or the relevant booking.

Payment
Payment can be made by credit card (Visa or Mastercard) at time of registration.  All prices are quoted on the summary page in New Zealand dollars and include GST of 15%.  Credit card payments are procced via Windcave. For Windcave privacy settings click here. Windcave is a Level 1 Service Provider and is compliant to PCI DSS Version 2.0. By completing a registration for thePAC Conference 2026 you acknowledge that you are responsible for the payment of your registration fee/s.

Insurance 
The organisers and the Conference Managers will not accept any liability for losses associated with the conference. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the conference.

Photographer/Videography
Photographs and or Video may be taken at this event and may be used in website, social media and printed publications. If you DO NOT give permission for your photograph or name to be published by this event or future events, it is your responsibility to advise the photographer/videographer at the time and request that you are not included in any content taken.

Disclaimer
The information on the conference website is correct at the time of publication. However, the conference organisers reserve the right to change information. If, for reasons beyond the control of the organising committee, the conference is cancelled, registration fees will be refunded after deduction of expenses already incurred.
